Purchase of Books and Journals
Purchase of Books
The purchase of books using research funds is typically handled by the responsible library.
Purchases funded by the Grant-in-Aid for Scientific Research are processed by the accounting section of the affiliated department.
Based on the Library Asset Guidelines (Japanese Only), books purchased with university funds that are expected to be utilized for one year or longer shall be registered as assets of the university.
The books you have purchased will be held at the library and returned to you after the registration process is complete.
Once the books are registered, they will become searchable in the library catalog OPAC.Please note that when purchasing items as library assets, multiple funding sources cannot be combined for the purchase.
Purchased books cannot be discarded without authorization. Proper procedures must be followed.
When purchasing with university operating funds and external funds
- When purchasing as an asset, please enter “Library Asset” or “Asset Registration” in the remarks section of the Purchase Confirmation Report/Purchase Request Form.
- After having the purchased books inspected at your respective library or other designated location, please submit them along with the “Purchase Confirmation Report/Purchase Request Form,” delivery note, invoice, and other relevant documents to your respective library or another designated location.
- When using external funds, please carefully review the usage rules for each external fund.
When purchasing with a Grant-in-Aid for Scientific Research
- Books purchased with Grant-in-Aid for Scientific Research funds that qualify as assets must be donated to the university (Affiliated Library) in accordance with the “Regulations for Acquiring Grants-in-Aid for Scientific Research” (Ministry of Education, Culture, Sports, Science and Technology) and the “Manual for Grant-in-Aid for Scientific Research Programs” (University Research Promotion Division).
The required documents and acceptance procedures are the same as for the university-operated funds, etc.
Purchase of Journals
Journal subscriptions are generally contracted on an annual basis (January–December; some domestic journals follow an April–March subscription period). Additional subscriptions, cancellations, or changes to the budget cannot be made during the contract period.
Please take this into consideration if you are planning to retire or transfer to another institution.
Subscriptions
- We conduct a survey around April each year to identify journals for which there is a demand for subscription, and the subscription titles are finalized around July. When considering new subscriptions, renewals, or cancellations, please refer to the list of journal titles that we distribute.
- In principle, new subscriptions shall be funded by the relevant faculty or laboratory rather than through joint purchasing.
- Budget and accounting matters are handled by the accounting section of the relevant department.
- The library reports to the relevant department on a quarterly basis on journal purchases made using research funds.

One-time purchase
If you wish to make a one-time purchase of a specific issue or back issue of a journal, please contact your affiliated library.
Please note that some journals may not be available for purchase.
Usage
- The arrival status of purchased journals can be checked via the library catalog (OPAC).
- New journal issues for laboratory use are available for pickup at the library.
- Please notify your affiliated library when your laboratory no longer needs unbound or bound journals.

If you wish to have purchased journals bound, please contact your affiliated library.
Book Recommendations For Students
We are accepting recommendations for student books from faculty and staff.
Content of Recommended Books
Academic books (Japanese and foreign language, print and electronic) focusing on introductory and fundamental texts across all fields, including interdisciplinary areas.
* Bulk requests for materials with clearly long-term publication schedules, such as ongoing complete works or series, are excluded.
* Books intended for faculty research purposes are excluded.

Your department/division name, your name, ISBN, book title, publisher, number of volumes.
If there is any other necessary information, please include it.
Donations of Books and Journals
Books

Journals
- All matters concerning donated materials, including acknowledgments of receipt, requests to discontinue donations, and questionnaire responses, should be handled within your department or laboratory.
If you wish to donate journals to the library, please contact your affiliated library. - If you would like the library to handle the donation procedures, please ask the donor to change the mailing address so that materials are sent directly to the library.
- For inquiries about journal donations, please contact your affiliated library or the Serials Management Section at the Main Library.
Internal Budget Transfer *As a general rule, Interlibrary Loan(ILL) fees are now covered by the university.
Prior approval is required to pay for interlibrary document copies, interlibrary book loans, or in-library photocopying using research funds.

Return of Purchased Materials
Books purchased with research funds are university assets. They cannot be disposed of without authorization.
When transferring, relocating, resigning, or otherwise leaving the university, or when items are no longer needed in the laboratory and you wish to dispose of them or return them to the library, please follow one of the procedures below.
Please notify Main Library.
- Return to the Library.
- Management Handover (Transfer management to a laboratory successor or another laboratory within the same department)
- Continue using at the new assignment location

- Books that can be taken out: Please fill in 「図書資産異動申請書 (Japanese Only)」、 or 「寄附物品返還請求書 (Japanese Only)」 and bring the books with you.
Depending on the destination, you may need to fill out the “Library Asset Transfer Request Form (Japanese Only)” and bring the physical item with you.
Depending on the source of funds at the time of purchase and the collection status within Tohoku University, the materials may not be permitted to be removed from the university.
Use After Leaving the University
After retirement, you may use the library as an external user. Please apply for an “Affiliated Library User Card” to access the facilities.
